Cultural Diversity - Internal report

Initiation
Early February a meeting was held which was focusing on improving membership engagement and developing volunteer response, and getting them more active in their roles. Hence through the activity members will be able to contribute meaningfully to the country sites.

Concerns with volunteer system
- Exclusivity amongst volunteers from the rest of the members (getting updates)
- Lack of resources to be able to fully coordinate volunteers
- Who would be accountable of the efforts and keep communication on going
- Why should members apply to participate on the site?

Resolutions proposed
- Instead of applying for volunteer positions members check list on their interests and instantly added to the database for future updates
- Transferring volunteer list to members contribution list
- Writing up a newslettere-mail every mid-month to inform members about up coming events and activities
- Coordination of the various membership activity teams so that participation and strategies are synthesized e.g. Zine team, Global Gallery team, youth reps and Local team.
- Featuring a theme each month selected according to interest and/or major world issue that month.

Monthly themes Strategy (www.takingitglobal.org/themes)
There are a variety of reasons behind why this strategy was initiated and critical to membership engagement:
-	It keeps the TakingITGlobal.org site current (featured themes current world events youths major interests) and updated with new content.
-	Gives members the opportunity to share ideas and perspective on the same issue but from different perspectives and sights. Showcasing the diversity within the community yet giving opportunity for members to be able to express their opinions on major issues concerning the world today.
-	Gives members a reason for coming back to the site on an ongoing basis and encourages on going discussions, updates and interaction amongst members
-	Provides partners and sponsors a reason to support a short-term project that attracts users, viewers, interest and involvement in a particular issue
-	Provides a solid foundation of content that can later be leveraged for topical sites (eg. Health Promotion -> AIDS topical site)
-	Allows TIG to focus on a theme without feeling forced to develop and launch a separate topical site in a way that is pre-mature and under-resourced
-	This strategy integrates all of the separate ¡¥member-engagement¡¦ initiatives such as the volunteer program, which is currently unsustainable and under-resourced.
-	Members who want to get actively involved with TIG in a way that is more meaningful and focused have a greater opportunity to do so
-	Members will be exposed to a diverse array of perspectives, issues and topics which allows people to gain a deeper sense of awareness because they may learn things that they wouldn¡¦t otherwise be interested in.
-	Members who are ¡¥experts¡¦ or ¡¥enthusiasts¡¦ in particular subject-matters will have an opportunity to be showcased and will also be able to share their skills in a way that is less cluttered and overwhelming
-	The experience of TIG tends to be ¡¥overwhelming¡¦ for people. Having monthly areas of focus will allow members to ¡¥grow¡¦ into the TIG experience

Cultural Diversity
Theme selection
To launch the monthly themes, we selected the theme Cultural Diversity because of the following reasons:
-	The need to identify and showcase the diversity within the TIG community
-	Need to present and show that the themes are a way to get members to share the different issues affecting them within the local community
-	The topics selected for the theme where preparation of upcoming theme in a more broad perspective that members could be able to contribute
-	The need to select a theme that members can begin working and contributing to without prior experience, research or qualification
-	An exciting and interactive theme that will easily engage members
-	Cross cultural understanding needs to be promoted in order for respect of opinions to be given in the up coming themes especially in discussions. (You understand the background and perspective from which members are coming from hence able to respond to questions which a much clearer view of your audience)
-	Country sites have added content on relevant issues, hence promoting and encouraging more participation from local members to further share their culture and experiences

Offline Preparation
-	Interviews were conducted to get feedback and quotes from members, on their thoughts of the theme.
-	Questionnaires where handed out before the launch of the theme at the conferences that attended by Reggie.
-	Research on the different discussions posted by members, and articles submitted to understand what members are interested in contributing
-	Reggie took photographs to encourage members and give them guidance on the

Online Preparation
-	Engaging members to begin participating and contributing to the theme before the launch proved to be more challenging than expected
-	First newsletter introducing the monthly themes as well as the global gallery contest
-	Overview page introducing the theme cultural diversity and the ways to get involved (Took me some time to get the grasp of an overview page and its purpose)
-	Flash Intro for the theme was developed by Ben for the overview page (Quotations where used for the flash from members)
- E-mails where sent to selected members before the newsletter to talk about the monthly themes. The criteria used to select the members were activity as well as interest in current TakingITGlobal strategies. Other members involved in the preparation where Youth Reps and volunteers.
- Specific members who had shown interest in the volunteer positions where given the opportunity to begin submitting their work before

Contest
- During the staff meetings and discussions and more brain storming, plus from personal experiences the following came up:
„X	Members need recognition for their work in order to be motivated to continue
„X	The need for incentives shows that TIG is not only a place to dump your content but a space where opportunities arise
„X	Members usually want to contribute but are not sure where to start
„X	The need for exciting activities and contests is paramount for the growth of TIG with member¡¦s activity involved
„X	There is need to show actual proof of talents that our members have and show how issues affect members within the different communities
„X	Need to improve quality of submissions and encourage members to submit work fu
- Previously there was lack of consistency in contests and interactive activities. The timing of the activities and the engagement of these to our members was not coordinated in a way that would keep members needing an update.
- Having been inspired by Ezekiel¡¦s contest on ¡¥Life as I know it¡¦ and Nancy¡¦s contest on ¡¥Promoting a culture of peace¡¦. We realized that part of the monthly themes strategy would be contests and incentives. Hence the Global gallery would be hosting a contest each month.
- The contests should showcase the diversity of the community, the culture of the people and be able to give members the opportunity to share their personal ideas and
- It was decided to title the contest ¡¥Life as I know it¡¦, as the previous contest and possibly continue with the same theme and goal as before.
- To get the contest going and to give members a better understanding of what the contest would require. I posted photographs from the conferences I attended namely Multicultural week at York University, World Affairs Conference and High School conference in York University.
- I wrote to members that showed interest in cultures and encouraged those that had traveled to submit their photos to the global gallery.
- Candace Rose-Taylor a volunteer came into the office to learn more about TIG and how she could contribute. Amongst the areas mentioned that she could work was the global gallery, having traveled and worked in Madagascar this was the best opportunity for her to post photos of her travels to the contest page. One of her submissions became the winning submissions.
- We had a total of 72 entries shown in the exhibit for the theme.
- Determining criteria for voting was challenging and was later decided by the global gallery team.
- A voting tool was developed to make the criteria easier and for March staff and some active volunteers had to vote the 5 best submissions.
- Since there is a revamp on the global gallery, voting would be included in the new design.

Zine
- The Zine was an exciting place to work on especially the end of March when we had Amy Lam, a volunteer who came into the office to help with the Zine which is also being proposed to be revamped.
- For cultural diversity the strategy was to write to members and inform them about the theme and suggest possible topics that they could begin working on.
- Suggested topics to begin writing where e-mailed to members through the newsletter and posted on the overview page.
- Other methods used to encourage writers to submit there work was to post suggestions to discussions participants to submit their thoughts to the Zine.
-Through the invitation process, we will be able to build a group of willing and reliable contributors and encourage submissions from other TIG members. Later on, we may be able to provide these writers with specific roles within the Zine.

Online Chats
- This was a new initiative that was started in order to get people to draw from the theme and share what they have learnt over the course of the month.
- On the 15th of the theme¡¦s month members would be selected who have been active during the month on related topics to be part of the online discussion chats. Insuring a health balanced chat. Selection of these members would vary but basically would include members who might have had conflicting thoughts on certain issues, those that had started similar discussions, posted similar articles and shown clear interest on the topic.
- The chats are open to everyone even those not selected and therefore an invitation would be part of the newsletter.

Newsletter
- The newsletter had not been consistent and was not been written on a monthly bases. This was a loop hole that needed to be linked with the revamp that was going on with the inter site.
- To go hand in hand with the monthly themes, we decided to write a newsletter each month informing our members of the new things happening at the beginning of the next month.
- The first newsletter I wrote was in February (While preparing for this newsletter I got a chance to read the past newsletter, initiatives and history of TIG), which had the same style and format as the previous newsletter.
- In the February newsletter we introduced the monthly themes and a new section called featured member. The featured member section acknowledges 2 important aspects of TIG: Those that have made in impact in their community through TIG and the active youth leader who has shared their story through the featured member section on the site.
- For the month of March the format of the newsletter somewhat changed to emphasize the monthly themes and the activities focused for that month. Each month would be a new and exciting way to get members more involved and active (my personal hope on the actives would be to find a new and exciting, fun way to encourage members to participate and inform members about the month¡¦s theme yet keeping it different from the previous month ¡V challenges, games, contest, etc that last or are on going the whole month).
- The new newsletter section included the following:
1.	Welcome to the Dispatch „³ Introduction to the month¡¦s theme
2.	Cultural Diversity Discussions „³ This would feature quotes from members about previous and on going discussion on the theme and related to the theme
3.	Global Gallery Contest „³ Each month we talk about the month¡¦s theme contest and why it was selected. The criteria for selecting the topic vary with theme.
4.	Online Chats „³ Schedule of the online chats and topics for the chats. The chat rooms are still open during the entire month and
5.	Organizing a Local Event or Meeting „³ If there are any workshops, organized events or local (featured event) meetings this would be posted on the site.
6.	Featured Article of the Month „³ each month there is a featured article submitted by our members that is related to the month¡¦s theme. Selection of the article should consider gender/region/activity and relevance to the theme.
7.	Featured Member of the Month „³ this section is to acknowledge the different active members who have made an impact within their community through TIG andor have been recognized for the activity online.
8.	Wrap Up „³ conclusion and link for members who want to contribute to the upcoming theme

Success
-	In the conferences I managed to develop personal skills (communication and presentation) as well as get contacts willing to volunteer during the summer holidays. This was to get an understanding of what youth of ¡¥the importance of cultural Diversity¡¦ as well as ¡¥what should youth do to promote cultural diversity¡¦.
- Discussions where the greatest success, making me realizes that one section of the site would be more active than the others. The key therefore is to encourage each month a focus activity that will encourage a section of the site become more active than others. Continued participation in the discussion boards is still ongoing when this report was written.
- Managed to begin continuity in the newsletter, the Zine issue and initiate an updated submission of content on the site that is fresh and interesting yet informing.
- March was particularly successful with the launch of the themes and the definition of my role.

Struggles
- Timing: This was the first theme we had and hence for me it was a learning process each day. Deadlines where set and it at times it would be difficult to meet cause of organization issues and coordination.
- Personal issues but resolved thanks to the support of the team
- Introducing and encouraging the theme proved challenging but nonetheless I was able to find means of addressing the problem. Involving Youth Reps and active members to talk about the upcoming themes is the best method.

Calendar
- A template calendar was developed during the month of March with the required input as well as deadlines for preparing for themes.
Half way thourgh the month i have not gained any weight or lifted one either. Went to join the YMCA gym....haha nasty experience (lol...didn't know weight lifting hurt so bad).

- Have you encountered any difficulties? If so, how did you deal with them?
Lacking motivation and time. Ben suggested I write a timetable. The only think i could maintain was jogging (a trick i thought of was be late and chase the bus .. but then again to stressing)

- Are you still up to the challenge?
I am up to the challenge but like most things...I have no plan. I hate it when i can follow things through.

- Any message to other members who are participating in the Health Challenge?
Apart from this helping me try and develop my body I have begun to understandmore about my body. Need and haul, not sure when but soon.

- Have the choices/sacrifices that you made towards achieving your health goal affected your lifestyle? If so how?
Yes tha pain, the agony, the sweat...I had to drag myself out of my bed. Jogged or tried to sleep run about my block and straight to the coffee shop. Back tempted to sleep and couldn't do the push up (tonight...will do in the evening)

- Have you encountered any difficulties? If so, how did you deal with them?
difficulties? hmmm..does that include waking up? running? cooking a healthy breakfast which isn't muffins and coke? I guess the fact that I want to see this through and it was somewhat beautiful outside made things easier for me.

- Have you changed your aproach to achieving your goals?
Jacob is hopefully going to be my spotting partnerb when he comes to the office. Always wanted to go to the gym in the morning. I can see it now!!?

- Are you still up to the challenge?
I still want to to body build and gain lots of weight(in a healthy way of course). I wonder if running will help me gain wait or lose weight. Thepry being that when you gain weight I get a back chance of looking and feeling healthy.

- Any message to other members who are participating in the Health Challenge?
What do you guys think of weight gainers? Jose I couldn't see that you definately know what you are talking about in building building. YOu look fit.

Ben thanks for the mnessage ... I like the fact that you kee it really and I can easily understand. I'll try staying motivated...all the way. Planning to stay focused this month.

Terri very true. Most people do end up being physically unhealthy yet always at the gym. I have always asked myself that question...Lack of knowledge and technique is one of the reasons that you can be stuck at the gym and still stay unfit. I wonder if I can subsitute rowing(I doubt that I will be doing any rowing this century) with some other sport.

During summer I will be roller blading to wrk...I am soo excited.

funky thanks and how have you been?
I have always wanted to do so much I end up doing nothing...body building, eating healthy(no McDonalds, Burger King, takeout), jogging every morning, but it seems I never find the time to do anything. Then SARS just had to come along...now I have to watch what I touch, eat, breathe, ... to sum it up work out (BODY BUILD) and to better my personal hygiene (SARS Prevention).

What actions/choices/sacrifices will you make to achieve this goal?
~Push ups(50) and jogging(I hope) every morning
~Tidy my desk and not use it as a dining table
~Read more on body building

- I should get help at the gym to use that equipment the most effective and painless way. Don't want to hurt myself.
Questions when updating Log (in no particular order)
- What site, or suggests are there for a someone going to the gym for the first time?
- Receipts for a health lunch (body builders lunch)? Never cooked lunch for myself always ate take out...

- How can I stay motivated and not give up especially the gym!
- Does anyone go to the gym, maybe we can have a virtual team, and you be my personal supervisor, helping me body build.
You have all inspired me (one way or another), and now I really want to say that the words INSPIRE INFORM INVOLVE have truly meant something different to me now.

Progress report

This is my first progress report and I intend to make a weekly report with daily logs.

September
Started work on the 17 September as an intern, with the title Marketing and International Programs Coordinator. Mainly the position is working on finding better ways to engage members in being more active with TakingITGlobal and have them work on getting TIG’s programs more relevant to their community.

I had 2 week initiation period with Michelle and Jen getting familiar with the TIG country sites and the work that has been done till then.

Loaded a bunch of e-mails to the relationship manager – This gave me the opportunity get an understanding of the relationship between members and TIG as well as the staff. I wrote up my suggestions of how to have better engagement of members.

I approved articles and organizations. This was to get a feel of the administration database.

October
This month was mainly the time when I worked with Jen and Michelle on the guide to developing the country sites and figured out how best to structure the system. I came to the conclusion that I will be concentrating on engaging members using the country site as a tool and resource to all my ideas. The country sites have clearly outlined my role and what I will be doing whilst an intern for TIG. Developing the guide was like a journey for me, where I picked up a lot of the values I believe I have gained and/or matured in the short period of time I was with TIG. Which where namely team work, leadership, hard work and friendship.

I got in contact with a lot of members and advisors. Worked on collecting and creating a excel database for the Stockholm Challenge potential partners that Jen went to. I planned to contact these orgs as soon as the guide is sent.

After having worked with the TIG team for about one and a half months I have began seeing TIG in a whole new way. I am beginning to ask myself several questions of which the main question was, ‘Why should we encourage more membership engagement?’ This at first seemed like a dumb question because I to encourage the values that TIG has and to foster a network…whilst I was going on and on about that, I put myself in the situation I should have put myself a long time ago. Our members who aren’t that active seem to be from countries that actually pay for the internet. This means that for most the rare times that they do get online they have specific sites and e-mails that they need to go to and do, remembering that time is limited. I realized that in order for us to expect activity we have to show how relevant we are. The only way to show that relevance to a person with limited time is to be able to have an identified the impact we have caused in the community. We have hosted events and workshops but after that events and workshop is posted on the site we have no idea if at all it helped or not. This is when I thought of suggesting the TIG Action Team.

There was a incredible brainstorming session that that happened between me, Jen and Sush, that lasted to the night where we discussed on this issue. We came up with 10 positions that covered 3 major concerns.
1.	Getting members to add content to the country sites
2.	Making TakingITGlobal relevant to the local community
3.	Fostering the sense of team work, and networking between members.

This was what I believed the best way to be fair in expecting members to add content to the site and still be addressing people’s concerns. I felt that we should not expect to have an increased member activity yet we have hundreds of dedicated volunteers signed waiting for approval, and even those approved not knowing what to do.

Nick offered me to help me when I start to work on the partners for the country sites and funding.

November
We finalized the guide to developing your country site. The international coordination team e-mailed members letting them know that the guide is out. Emails also sent to youth representatives and applicants telling them to reapply, with the new application form, because the before there was no criteria established.

Strategy proposed for getting members involved. Members will be working in teams and sourcing information to add to the database.

I have responded to all youth rep applications with approvals or declines. This is not really the response I was thinking but I guess I have to sit down and think of how we can do things. I want to present a strategy on the 22nd of Nov. at the staff meeting at the town house.

I have joined a couple of projects where I am a leader mainly in TIG participation, country sites and AIDS awareness.

I also met Liz and discussed on how to work together. It will be great.

I guess the progress report has been summarized and as I said before I will be writing weekly reports I hope.

The last thing I want to say is working with the TIG team and staff has been absolutely gr8. You guys are the greatest, every body. Your leadership and friendship has incredible. You guys have inspired me, informed me as well as involved me in the everything. TIG is slowly beginning to be my life.
It is this platform where I can say all my crazy thoughts, express my concerns, and write all i wish to shout to the world.

I always loved poetry but I know I suck at it. I guess I'll use this to be my expression diary and you guys can help me improve. Check this out...
I wrote this last night, but dunno if it’s good…

The truth as it is. I have lived in a country that is one of the world's worst hit countries - Zimbabwe. having watched friends and family get infected and die coz of the epedemic has not been easy. I'll just write wat comes in my head as I have seen it.
In my country like most countries, everyone knows the facts and issues about AIDS yet no one wants to except the reality. I guess as I write this and you read this, you are thinking I will repeat the same stats that you have heard once too many times... but I am not. Nor will I try to give you the approach of throwing numbers and percentages in your face dat seem pointless and confussing. All I will do is try and explain is the reality and the truth from my own point (a point of view which I might remind you is coming from an average non-outstanding individual with just the general ideaolistic hopes and dreams just like any other 3 world born child.... ooh and a terrible speller at that). Anyway the reason I mentioned being an average 3rd world child is dat the average person is the one being infected mostly not the discplined hardworking intelluctual who wants to change the world and is doing something about it.

So let me cut the chase and get to the point. Its got to do mainly with peer pressure. Yes poverty, unsafe sex and all those other facts that the learned talk about is true no doubt but the fact that leads people to indulge in most of these is NO ONE seems to want to be a positive peer and would rather be the sheep that follows.

Ooooh by the way, the leading reason for infections in Sub Saharan Africa and if I'm not mistaken 3rd world countries is through sexual activity. Yet I have always found it surprising how people like to talk about sex so much yet when I tell them dat i am a virgin they then say dats "cool" and dat they admire me for that. Wishing they too where virgins and when I ask why not abstane they give all sorts of excusses. It jus goes to show that people would rather risk there lives (to be precious 3 500/wk people infected of AIDS and HIV in Zimbabwe alone and 2 500/wk die) jus bcoz they want to fit in rather than become true to wat they know is the right thing to be.

The solution is not a simple one, I know dat, but lets face the reality that infidelity and ignorance cause AIDS. I mean "wat really does poverty have to do with this?" Prostitution in prevalent yet for the prostitution to be "prosperous" or wat ever term could be used. Someone has to forking out money for the services... which brings me to the question. How can can you blame poverty when you have money to spend on prostitution? People if you have experienced and seen wat I have seen then you will realise that this epidemic could be reduced if people where given bac the self confidence and if youth where educated on abstience. I'd rather see a campaign on Abstinence than on people being educated on T-cells, retroviruses and wat not when your audieance has no idea wat a cell is!!! I rather organisations and governments spend less money on research about "HIV causing AIDS or not" and more funding on research to find a better method to educate people. Cause clearly the current method is not just failing but has failed entirely. Lets give people mo education in morals and self respect than in how to use a condom. Let the Puff Diddy's and Kid Rock's sing mo on having sex with their wives alone (cause clearly asking them to sing about Abstinence is being a lil' unrealistic right now), than them singing about pimpinmg and whores. This is the only way to get rid of the epedemic.

Target the trend makers and make them realise that they could make Abstinence cool and wonders will work. Cause that can be an over night sucess since it means redirecting money rather than talking about Poverty and living it at dat.

One last thing, in my country the life expectancy has reduced to 35years from 70, yet people still think its cool to be indugling in sex before marriage. I think its time to stop just talking about it and be about it! Abstinence is the way to go and you will see its worth more than you can imagine and you know wat its not as difficult as people want to make it seem.
